CITY OF THOUSAND OAKS

RECORDS MANAGEMENT SUPERVISOR

Salary: $5,017 - $6,217/month

 

DESCRIPTION: The Records Management Supervisor is responsible for the ongoing development, implementation and enhancement of the citywide records management program both to ensure compliance with all legal requirements and to provide departments with an effective, easy-to-use process for maintaining and accessing information on City operations. Responsibilities include updating and interpreting the records management system; supervising the storage, retrieval and destruction of City records; overseeing the maintenance, preservation and security of vital and archival records; and overseeing the citywide imaging system including content, prioritization of projects, project management, information/document input, quality control, hardware/software maintenance, troubleshooting, annual software licensing as well as coordination with outside scanning vendor. The incumbent exercises considerable independent judgment and problem-solving skills and must be highly skilled in records management concepts and practices, and performs related duties as required.

 

EXPERIENCE/EDUCATION: A typical way to obtain the knowledge and abilities would be: A Bachelor’s degree from an accredited college or university with major course work in business administration, public administration, or a related field. Six years of responsible records management experience, preferably in a government agency, including one year of lead supervisory responsibility. Certification as a Certified Records Manager (CRM) is highly desirable. A valid class C California driver’s license required.

SENIOR ASSISTANT CITY CLERK

Salary: $78,751.92 - $98,439.54 Annually

 

Performs highly responsible administrative support and management duties in the City Clerk's office including municipal elections, records management and office supervision; serves in the absence of the City Clerk, performing all required duties in conformance with state law and legislative policy; and performs related work as assigned.

 

Any combination of education and/or experience that has provided the knowledge, skills, and abilities necessary for acceptable job performance. Example combinations include: four years of progressively responsible experience performing varied and complex administrative support duties two years of which must have been in a city clerk's department or related organization which staffs a city council or city commission. Experience must also include at least two years in a supervisory capacity. Registrar-Recorder/County Clerk

The City of South El Monte seeks a City Clerk that will direct the operations of the City Clerk’s department.

 

The City Clerk reports to the City Manager and is a key member of the executive management team; provides administrative support to the City Council; supervises the preparation, organization, printing and distribution of the agenda, as well, the minutes, ordinances, resolutions and other documents; directs the publication, filing, indexing and retention of official municipal documents; prepares and directs publication of all legal notices as required; manages the activities of the department including management and preservation of official city documents and records. Performs other related duties as required.

 

Education & Training: Graduation from an accredited college or university with a Bachelor’s degree in public or business administration or related field is highly desirable. Five years of increasingly responsible experience performing complex administrative duties in a City Clerk’s office, or equivalent experience in a similar government agency. At least two years of experience must have included management/supervisory responsibilities. Education leading to the designation of Certified Municipal Clerk would be an asset.
